How to write a quote as a tradie
A good quote wins the job, sets expectations and protects you if something changes. Here’s what to include and how to make it easy for the customer to say yes.
1. Start with your business details
Put your business name, ABN, phone, email and logo at the top. If your trade needs a licence, add your licence number. It builds trust, and in some states it’s required on quotes and advertising.
2. Say who the quote is for and where the job is
Include the customer’s name, contact details and the site address. Give the quote a number and a date so you can both refer to it later.
3. Describe the work in plain language
Write what you will do and what the finished result looks like, not just trade shorthand. “Replace hot water system with 250 L electric unit, remove old unit” is clearer than “HWS swap”.
4. Itemise labour, materials and extras
Separate lines make your price easier to understand and harder to argue with:
- Labour: hours × rate, or a fixed price per task
- Materials: the main parts and supplies you will provide
- Extras: call-out fee, travel, waste removal, equipment hire
5. Show GST correctly
If you are registered for GST, show the GST amount separately or say that the price includes GST. If you are not registered, do not add GST. Our GST calculator helps you check the numbers.
6. List what is not included
Exclusions prevent most disputes. Examples: painting after plastering, council fees, hidden damage found once work starts, or materials the customer supplies.
7. Set validity, deposit and payment terms
Say how long the price is valid (for example 30 days), whether you need a deposit, and when the balance is due. For bigger jobs, set progress payments tied to milestones.
8. Make it easy to accept
A quote that’s easy to accept gets accepted sooner. Add a signature line, or better, send a link the customer can sign on their phone. Follow up after a few days if you haven’t heard back.
